How much does an appointment cost?

 

If you have dental PPO insurance, there is no cost for our core preventative services (cleaning, x-rays, teledentistry exam). For patients without dental insurance SuiteTooth offers a special self-pay rate highlighted on the booking portal.  If we are out of network with your carrier or if your plan has a deductible or co-pay we will balance bill you for services that insurance does not cover.

Is there anything I need to do before my appointment?

Please enter your medical forms on our app and enter your insurance and medical information.  This will allow us to confirm your eligibility prior to your appointment and ensure we complete your visit in a timely manner.  If you are not eligible, we will let you know prior to your visit and allow you to reschedule.

How Do I Reschedule an Appointment?

 

Please contact SuiteTooth 48 hours prior to your reserved time to cancel or reschedule without penalty by emailing info@suite-tooth.com.  While we don’t currently have a missed appointment fee, please remember that missing an appointment hurts the community as it prevents us from donating more to charity.  Help us help others.

I’m having problems with the booking portal, what should I do?

 

Our HIPAA-compliant portal supports the latest versions of Google Chrome and Internet Explorer. If you’re experiencing difficulties or have additional questions, please email us at info@suite-tooth.com your name, company and preferred appointment time and a member of our team will help schedule your appointment.

 

I want my records from a previous visit, how do I get them?

 

Please contact SuiteTooth at info@suite-tooth.com, and we will send your files to you or directly to your provider on your behalf.

 

You indicated I need follow-up care, what is the process?

SuiteTooth will let you know if we found something.  We will then contact you to learn more about your preferences for follow-up care and will identify local providers who meet your needs.  If you need help booking an appointment, we are there to help.

 

What is the Customer Care Concierge?

SuiteTooth offers this service to all employees at one of our service locations.  If you have a dental problem, please let us know and we will put you in touch with the appropriate dental professional.  If you need assistance with a booking or referral, we will also work with you to identify the best alternative for your needs.

How long is each appointment?

SuiteTooth appointments are typically less than an hour.

What is included in my SuiteTooth appointment?

During a SuiteTooth appointment, you will see one of our highly qualified dental professionals supported by a complete teledentistry exam. A standard SuiteTooth appointment includes a complete oral health exam and cleaning; PreViserSM assessment to determine your oral health and risk level for oral cancer, cavities, and gum disease; oral x-rays, intraoral photographs, and a teledentistry exam. Additional services are available, such as fluoride treatment.

 

What happens after my appointment with Virtudent?

Within 3 business days you will receive a follow-up report from a dentist indicating any notes or next steps from your appointment. Our team will then send your files and relevant information to the appropriate dentist – either your regular dentist that we have on record or a referral dentist we can help you find. We will help coordinate care, and give you a follow-up call after ten days to check on your status, answer any questions, and address any concerns you may have.  If you need any other help, we are here to help, just reach out to us at info@suite-tooth.com or through our patient portal.

 

What if further treatment is needed after the visit?

 

If the SuiteTooth dentist determines that you need additional treatment, they will submit a referral via secure email. Next, a member of the SuiteTooth team will work with you to help find a local, in-network dentist to perform the procedures. Yes, you can use your own dentist if you already have one! We make sure all dental records are available to your chosen provider to ensure the proper continuation of care. If you’d like, we will send the records on your behalf.

Can SuiteTooth provide the same standard of quality as a traditional dental office?

How much does it cost to bring SuiteTooth to my office?

It costs your company nothing to bring SuiteTooth to your workplace. We setup, serve your employees, and leave your space as we found it – all at no cost to you.  SuiteTooth will bill each patient’s dental insurance (if applicable) or offer our special self-pay rate if the patient doesn’t have dental insurance.  SuiteTooth will bill employees for any portion of their service that is not covered by diagnostic and preventive benefits under the company’s dental plan.

How does the sign-up process work?

 

SuiteTooth's dedicated portal provides easy self-booking for your employees.  As part of our onboarding process, SuiteTooth's works with you to design an adequate marketing program to build and generate excitement, educate employees, and encourage booking. 

What does SuiteTooth offer?

We provide preventative services specific to each individual patient’s needs.  The typical appointment includes: a preventative cleaning (prophylaxis), X-rays, intraoral photos, periodontal charting, dental exam, risk assessment, cancer screening, polishing, teledental exam, education, and optional fluoride.

Who will be providing the services?

 

The onsite dental appointment will be completed by one of our experienced dental professionals.  At most locations, we initiate services with a dentist and transition to a specially-trained hygienist.   Our full-time, hygienists work closely with our licensed dentists, and have access to them throughout the day. Our dentists provide any diagnosis, prescriptions, and follow-up recommendations to patients. Incremental care is available through the SuiteTooth concierge services.

How do your employees get further treatment, if necessary?

 

If a SuiteTooth dentist determines additional treatment is necessary for a patient, we make it easy to continue their care. First, we submit a referral via secure email. Next, a member of the SuiteTooth team works with the patient to help them find a local, in-network dentist to perform the procedure(s). Once a patient selects a dentist, all SuiteTooth dental records will be available to that provider to ensure proper continuation of care. If requested, SuiteTooth can even send the records on the patient’s behalf.  SuiteTooth is there to monitor and manage the process through the SuiteTooth concierge service.

 

How does SuiteTooth use teledentistry?

 

Following an appointment, each patient’s records are securely delivered to a dentist for review. A SuiteTooth dentist looks a the X-rays, digital images, and hygienist notes to determine whether any follow-up treatment is necessary. It’s the great dental care your employees expect, and they never had to leave the office to receive it!

 

Does SuiteTooth keep patient records from year to year?

 

Yes, each time an employee receives dental care from SuiteTooth, his or her records are stored on the secure online portal. This allows SuiteTooth dentists to compare records from year-to-year.

Will you see my enrollees' spouses or dependent(s)?

 

Yes. If your organization chooses to provide these services to spouses and/or dependents over the age of 18, SuiteTooth can accommodate them.  SuiteTooth's Concierge service is available for all direct family members.

 

What are the requirements for the conference room?

 

Ideally, SuiteTooth’s hygienists need at least a 8’ x 8’ space to comfortably fit all equipment. In addition, the hygienist must have access to a restroom.

 

Our conference rooms have glass walls. Is that an issue?

 

No, SuiteTooth’s mobile clinics are equipped with privacy screens to ensure patients feel relaxed and comfortable.

 

How many employees will SuiteTooth typically see per day?

 

Each SuiteTooth hygienist can see up to 10 patients per day. However, the number of days the hygienist will be available depends on the needs of each client. We can have multiple hygienists on site per day, with the ability to schedule as many days as necessary.

Is it possible to have SuiteTooth set up in more than one conference room?

 

Depending on the size of your company, there are circumstances when SuiteTooth can bring in additional hygienists and equipment to set up in additional rooms. Often, we have multiple hygienists on site for multiple days-even scheduling multiple visits per year with many companies. We are flexible enough to work with your space and your needs.

 

How do you ensure our conference room remains sanitary?

SuiteTooth’s mobile clinics are self-contained, meaning no material leaves the clinic while in your conference room. Your office space will be restored to its original condition and all surfaces will be sanitized between patients and prior to SuiteTooth’s departure.

 

Does SuiteTooth have liability insurance?

 

Yes, SuiteTooth has liability insurance while onsite at your company. You will be provided with a Certificate of Insurance prior to any scheduled visit.

 

How are patient records secured?

 

SuiteTooth ensures that all patient-related data is captured, transferred, and stored via secure third-party, cloud-based medical record software that is fully HIPAA compliant. 

 

What is SuiteTooth’s HIPAA policy?

 

We are fully HIPAA compliant. SuiteTooth follows an extensive internal policy related to HIPAA compliance, which involves employee training, internal infrastructure, business associate agreements with any 3rd party vendors we use, and otherwise.
Our technology: We use a proven HIPAA secure, cloud-based platform to store patient data for patients who sign up for our service.
